Below are guidelines to help you with performing meeting roles. Please review responsibilities and modify any script/outlines to match your own speaking style.
NOTE: Please remember to rename yourself in Zoom as “NAME – ROLE”.

Toastmaster Role
Responsibilities:
- Manages overall flow and timing of meeting
- Facilitates the meeting and makes sure meeting schedule times are met
- Introduces the Theme, Word of the Day and discusses any changes to the Agenda
- Introduces Ah-Counter, Grammarian and Timer and has them briefly introduce their role
- Introduces Speakers and their Evaluator; Table Topics Master; and General Evaluator
- Sets up roles for next meeting and adjourns meeting
Sample Outline/Script:
Hello fellow GenoMasters, my name is XXX and I will be the Toastmaster for today’s meeting.
The theme of the meeting today is XXX
The word of the day is XXX, which means XXX
Inform if there are any changes to the meeting agenda
Now I would like to introduce the members roles
XXX is the Ah counter for today’s meeting – please tell me about your role
XXX is the Grammarian for today’s meeting – please tell me about your role
XXX is the Timer for today’s meeting – please tell me about your role
I would like to introduce the 1st Evaluator XXX. Please introduce our 1st speaker
After 1st speaker
Would everyone please take the next minute to send a Matter Most message to the speaker with comments about their speech

Sergeant At Arms
- Helps set up the meeting
- Play theme music at the beginning of meeting
- Gavels the meeting to begin
- Welcomes members and guests
- Transfers lectern to the Club President
General Evaluator Role
Responsibilities:
- During the Evaluation section of meeting, the General Evaluator will be introduced by the Toastmaster
- Introduces each of the Evaluators to present their evaluation for speakers
- After individual evaluations are complete, conducts the General Evaluation of the meeting (e.g. theme, timing, other observations)
- Objective is to provide constructive feedback on what worked well in the meeting and offer suggestions to improve
- Objective is not to evaluate the speakers, but can provide feedback for Evaluators
Evaluator Role
Responsibilities:
- Read Objectives, Speech title and time before the speech is given
- Provide areas of excellence and 1 to 2 areas needing improvement in written and oral evaluation
Ah Counter Role
Responsibilities:
- Records filler words (ah, um, but, so, you know, etc.)
- Report at the end
Grammarian Role
Responsibilities:
- Count the Word of the Day
- Record good examples of grammar/word choice and language that is awkward and can use some improvement
- Report at the end
Timer Role
Responsibilities:
- Time speakers, evaluators, table topic speakers
- Report at the end
- Change your background color (download color cards here)
- Keep red colored time card up speech has ended
Table Topics Master
Responsibilities:
- Invite members and guests, as appropriate, to have a chance to speak on a topic for 1-2 minutes to practice impromptu speaking skills
- Curate questions based on meeting theme
- Members can answer question asked, previous questions, or any other topic (goal is for them to speak at least 1 minute)
- The objective is to ask open and fun questions that will encourage members to volunteer
- The objective is not to ask tricky or difficult questions
